Archiving and Preservation Policy

Maintaining access, protecting records, and planning for long-term digital preservation

Intellect: Indonesian Journal of Learning and Technological Innovation, published by Yayasan Lembaga Studi Makwa (Makwa Foundation), is committed to maintaining access to its published scholarly content and developing responsible arrangements for electronic backup, recovery, and long-term digital preservation.

This policy explains the journal's public online archive, the publisher's responsibility for protecting its publishing records, and its approach to independent preservation. It complements the journal's Open Access Statement, Licensing Terms, Publication Ethics, Post-Publication Discussion, and Correction and Retraction policies.

An important distinction

Online access, electronic backup, and long-term digital preservation are not interchangeable. A public archive makes articles available to readers; backups support recovery after a technical failure; independent digital preservation is designed to keep scholarly content available even if the journal or its publisher stops operating.

1. Public Online Archive

The journal makes its published volumes, issues, and articles available through the official Intellect Archives. The publicly accessible archive provides a chronological record of journal issues, including material published since 2022.

For each published article, the journal seeks to retain the Version of Record and its associated bibliographic information, including the title, authors, abstract, issue details, publication date, and DOI where one has been assigned. Public access is provided in accordance with the journal's Open Access Statement and applicable article licence.

2. Scope of Content to Be Preserved

The preservation programme is intended to cover published scholarly content and the information needed to identify, retrieve, and interpret it over time. This includes:

  • Published articles: final article files, supplementary materials when published and suitable for archiving, and the associated Version of Record.
  • Issue records: volume and issue information, tables of contents, and publication details.
  • Bibliographic metadata: article titles, author and affiliation details, abstracts, keywords, references where available, licence information, and persistent identifiers where assigned.
  • Post-publication notices: published corrections, expressions of concern, retraction notices, and their links to the original articles.

Confidential peer-review files, personal data, and unpublished submissions are managed separately under the journal's confidentiality and privacy obligations. They are not made publicly available as part of the scholarly archive.

3. Electronic Backup and System Recovery

The publisher is responsible for establishing and maintaining appropriate backup and recovery arrangements for the OJS publishing environment. The arrangements should address the database, published article files, relevant journal settings, and other information needed to restore essential services after a technical interruption.

  • Backup planning: determine and document an appropriate backup frequency, retention practice, and recovery responsibility based on operational needs.
  • Security: restrict access to backup material and protect copies against unauthorized alteration, disclosure, or loss.
  • Recovery: maintain a procedure for restoring service and periodically verify the usability of backup copies.
  • Continuity: review backup and recovery arrangements following significant platform, hosting, or security changes.

Detailed operational settings, including backup storage locations and access credentials, are not disclosed publicly for security reasons. The existence and effectiveness of backup procedures should be verified through the publisher's internal technical records and restoration checks.

4. Independent Long-Term Digital Preservation

In addition to the OJS public archive and operational backups, Intellect seeks to establish an independent preservation arrangement capable of protecting published content beyond the lifespan of the current website or publisher. The journal will prioritize a recognized digital preservation service compatible with its publishing platform.

One suitable option is the PKP Preservation Network (PKP PN), a distributed preservation service for eligible Open Journal Systems journals. Participation and successful preservation deposits must be confirmed using the service's actual deposit records. Enabling a plugin, assigning an ISSN or DOI, or listing a service logo does not, by itself, demonstrate that published issues have been preserved.

Preservation status: Intellect maintains a public OJS archive. At the time this policy was prepared, successful deposit of Intellect issues into an independent third-party preservation service had not been verified for public disclosure. The journal will identify the preservation provider and make its verified deposit information available when an arrangement becomes operational.

5. Author Self-Archiving and Repository Deposits

Authors retain copyright under the journal's published copyright and licensing terms. In accordance with the journal's existing repository policy, authors are permitted and encouraged to share their preprints, accepted manuscripts, and published articles through institutional repositories, subject repositories, and personal academic websites.

The published Version of Record is made available under the Creative Commons Attribution-ShareAlike 4.0 International (CC BY-SA 4.0) licence, unless a specific article expressly states otherwise. Repositories and individuals sharing the published version should provide appropriate author attribution, identify the original publication in Intellect, include the DOI or stable journal URL where available, and retain the applicable licence notice. Rights in third-party material remain subject to any separately stated restrictions.

Author self-archiving supports dissemination and discoverability, but individual repository deposits do not replace the publisher's responsibility to pursue systematic long-term preservation.

6. Integrity of the Scholarly Record

Published records must accurately represent the history of scholarly publication. Material changes to a published article are handled through the journal's Correction and Retraction Policy, with a transparent public notice where appropriate. The journal does not treat the silent replacement of a published article, the removal of an inconvenient record, or retroactive alteration of historical publication dates as acceptable preservation practice.

When a correction, expression of concern, or retraction is issued, the journal seeks to preserve a clear link between the notice and the original article and to maintain accurate bibliographic metadata. Article removal is reserved for exceptional circumstances, such as serious legal, privacy, or safety requirements, and should be documented to the extent appropriate.

7. Continuity in the Event of Interruption or Closure

If the journal website becomes temporarily unavailable, the publisher will make reasonable efforts to restore access using appropriate technical and backup procedures. If publishing operations are suspended or permanently discontinued, the publisher and Editorial Board will seek to maintain public access to published scholarly records through any verified independent preservation service or another suitable institutional or repository arrangement, subject to legal and technical feasibility.

A preservation arrangement may provide continuing access after a journal closes, but such access should not be described as guaranteed unless the relevant preservation service has accepted and successfully preserved the content. The journal will communicate material changes to public access or preservation arrangements through its official channels whenever practicable.

8. Responsibilities and Policy Review

Yayasan Lembaga Studi Makwa (Makwa Foundation) is responsible for the technical and organizational arrangements that support backups, system recovery, and preservation-service participation. The Editor-in-Chief and Editorial Board oversee the integrity of published records, the publication of formal notices, and the consistency of related editorial policies.

The publisher and editorial team will review the policy as preservation services, OJS capabilities, licensing requirements, and operational arrangements change. Any future assertion that Intellect content is preserved by PKP PN, LOCKSS, CLOCKSS, Portico, or another service must be supported by verifiable evidence for this journal.
